1. RESERVATIONS AND PAYMENTS
A tour application must be completed online together with the initial deposit or full payment when required, as clearly stated in the terms of each event. In case that full payment is not required with the application, the final payment must be at least 2 months before the event, unless it is specifically determined otherwise in the terms of each event (for details on payment refer to clause 3).
NOT INCLUDED IN PRICE: all items not specifically listed under tour features. Airfare and other travelling fares that they are not clearly stated are additional.
2. RATES
Prices are quoted at today’s rates and are subject to any changes in airfares, tariffs and conditions imposed by airlines, wholesalers or other service providers. Air and land prices may change due to currency fluctuations or changes in the tax or fuel surcharges until paid in full.
3. PAYMENTS
Each booking is subject either to full payment or to initial deposits as specified by the terms of each race/event.
When full payment is not required, the amount of the initial deposit and the amount and dates of the following payments will be specified in the terms of each event. In this case final payment must be at least 2 months before the event, unless it is specifically determined otherwise in the terms of each event.
Deposits are due within 24 hours of acceptance. Booking cannot be confirmed until full payments (when required) or initial deposits are received in full.
4. CANCELLATION FEES AND REFUNDS
All cancellations must be in writing and are all subject to a cancellation fee of 100€.
The refunds will be as followed:
1) If cancelled by you more than 30 days prior to the date of the race/ event only a Cancellation fee of 100€ will be charged and there will be full refund.
2) If cancelled by you more than 7 days prior to the date of the race/event there will be refund of 50% of the amount received to date.
3) If cancelled by you 7 days or less of the date of the arrival no refund will be given.
If a substitution is found, only a cancellation fee of 100€ will be charged.
5. EVENT CANCELLATION
In the case that a race/event is cancelled by its organizers more than 15 days prior to the date of the race/event, will be choice of either full refund of the amount received to date or participation in another race/event, at the customers’ option. In the event that a race/event is cancelled by its organizers less than 15 days prior to the date of the race/ event there will be refund of 50% of the amount received to date or participation in another race/event, at the customers’ option. In any case the agency is under no liability whatsoever to you.
6. EVENT CHANGE OF DATE
In the case that the date of a race/event is changed by its organizers more than 15 days prior to the date of the race/event, will be choice of either full refund of the amount received to date or participation in another race/event, at the customers’ option. In the event that the date of a race/event is changed by its organizers less than 15 days prior to the specified date of the race/ event there will be refund of 50% of the amount received to date or participation in another race/event, at the customers’ option. In any case the agency is under no liability whatsoever to you.
7. CHANGE OF EVENT’S FEATURES / CHARACTERISTICS
In the case that the characteristics of a race/ event are changed by its organizers the agency is under no liability whatsoever to you and there will be no refunds.
8. FORCE MAJEURE
If RUNNINGREECE (Agency) is prevented (directly or indirectly) from performing any of its obligations under this agreement by reasons of act of God, strikes, fire, trade disputes, breakdowns, government or political action, interruption of transport, acts of war or terrorism, acts of omissions of a third party or for any other reasons whatsoever outside the Agency’s reasonable control, the Agency will be under no liability whatsoever to you and may, at its option, by written notice you to cancel the tour.
9. TRAVEL DOCUMENTS
Visas may be required. Please contact our agency for further details. Each individual is responsible for ensuring that all necessary travel documents are current and valid.
10. TRAVEL INSURANCE
Health and accident insurance is available on request and is highly recommended to all participants. Residents from outside Europe must check within your country for availability of insurance coverage.
It is your responsibility to ensure that you are adequately insured for the full duration of the trip in respect of illness, injury, death, loss of baggage and personal items and cancellation/interruption and curtailment, as well as all of the races/events you expect to participate in.
11. RELEASE AND WAIVER OF LIABILITY
In consideration of RUNNINGREECE accepting your application:
The tours are operated by RUNNINGREECE who acts only as an agent for the passenger to the companies offering such services.
You release RUNNINGREECE and its officers, employees, agents, other representatives from liability, loss or damage incurred or suffered by you directly or indirectly during the course of your travel and resulting from your personal injury, illness or death or damage to or loss of your property, delay or irregularity caused by any reason whatsoever by any party offering such services. You waive any claims you may have against RUNNINGRRECE and its personnel and you agree not to make any claim against or seek any compensation from RUNNINGREECE and its personnel in respect of any personal injury, illness or death suffered by you or damage to or loss of property, delay or irregularity sustained by you as a result of your participation in a race/ event.
RUNNINGREECE may make any changes or alterations in the itinerary as it deems necessary for the proper handling of the tour.
This contract will be governed by the Greek law.
The sole responsibility of any airline used is limited to that set out in the passenger contract evidenced by the ticket. The airlines concerned are not to be held responsible for any act, omission or event during the time that the passengers are not on board their aircraft.
12. DISCLAIMER
RUNNINGREECE reserves the right to refuse an application to register for any reason. If an entrant’s application is refused, there will be full refund.
13. PERSONAL DATA
The customer agrees that the personal data provided may be used and retained by the agent for the following purposes and for other purposes as shall be agreed between the Customer and agent or required by law:
a) Provision of goods and/ or services, marketing of goods and/ or services by the agent, its agents or distributors in relation to the goods and/ or services,
b) Processing any payment instructions, direct debit facilities and/ or credit facilities requested by customer, and
c) Enabling the daily operation of customer’s account.
DATA PROTECTION POLICY
1. Data protection principles
Traveling Experiences is committed to processing data in accordance with its responsibilities under the GDPR.
Article 5 of the GDPR requires that personal data shall be:
a. processed lawfully, fairly and in a transparent manner in relation to individuals;
b. collected for specified, explicit and legitimate purposes and not further processed in a manner that is incompatible with those purposes; further processing for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes shall not be considered to be incompatible with the initial purposes;
c. adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed;
d. accurate and, where necessary, kept up to date; every reasonable step must be taken to ensure that personal data that are inaccurate, having regard to the purposes for which they are processed, are erased or rectified without delay;
e. kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed; personal data may be stored for longer periods insofar as the personal data will be processed solely for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes subject to implementation of the appropriate technical and organizational measures required by the GDPR in order to safeguard the rights and freedoms of individuals; and
f. processed in a manner that ensures appropriate security of the personal data, including protection against unauthorized or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organizational measures.”
2. General provisions
a. This policy applies to all personal data processed by Travelling Experiences.
b. The Responsible Person shall take responsibility for the Travelling Experiences' ongoing compliance with this policy.
c. This policy shall be reviewed at least annually.
3. Lawful, fair and transparent processing. To ensure its processing of data is lawful, fair and transparent, the Travelling Experiences shall maintain a Register of Systems.

c. Individuals have the right to access their personal data and any such requests made to the Travelling Experiences shall be dealt with in a timely manner.
4. Lawful purposes
a. All data processed by the Travelling Experiences must be done on one of the following lawful bases: consent, contract, legal obligation, vital interests, public task or legitimate interests
b. The Travelling Experiences shall note the appropriate lawful basis in the Register of Systems.
c. Where consent is relied upon as a lawful basis for processing data, evidence of opt-in consent shall be kept with the personal data.
d. Where communications are sent to individuals based on their consent, the option for the individual to revoke their consent should be clearly available and systems should be in place to ensure such revocation is reflected accurately in the Travelling Experiences' systems.
5. Data minimization
a. The Travelling Experiences shall ensure that personal data are adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed.

a. The Travelling Experiences shall take reasonable steps to ensure personal data is accurate.

7. Archiving / removal

8. Security
a. The Travelling Experiences shall ensure that personal data is stored securely using modern software that is kept-up-to-date.
b. Access to personal data shall be limited to personnel who need access and appropriate security should be in place to avoid unauthorized sharing of information.
c. When personal data is deleted this should be done safely such that the data is irrecoverable.
d. Appropriate back-up and disaster recovery solutions shall be in place.
9. Breach
In the event of a breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorized disclosure of, or access to, personal data, the Travelling Experiences shall promptly assess the risk to people’s rights and freedoms and if appropriate report this breach).
